As part of our continuous efforts to improve our products, changes have been made to how the system behaves when “Leave is applied” to Autopay Salary employees. You will notice that the system now produces only two earning lines, previously four. The net effect of these two earnings lines is $0.
Employees that work a fixed pattern of hours – AutoPay salary employees
These would be your traditional Salary staff that do not get paid by timesheets - rather they are paid the same earnings each pay run, regardless of hours worked. Typically, these employees' Pay Run Defaults are set up with standard hours to be paid by default in the pay run, and the employee's timesheet setting should be “Use timesheets for exceptions only”
Then, when they take leave, they're already being paid for it in the pay run so we just need to reduce the leave balance by the amount of leave that they take. We do this by adding two earnings lines when leave is taken - these lines simply remove the leave hours from the ordinary pay category and pay them against a leave pay category. The net effect of these two earnings lines is $0
Employees that submit timesheets for all hours worked
These employees need to be setup on “Use Timesheets to submit all time worked”
Run a report to check if your employees are setup correctly.
For Clients that use Roubler:
- Click on “Management” followed by “Reporting”
- Click on “Employee” followed by “Employee Details”
- Change the Employment status to “Currently Employed” and under the “Display columns” please add “Pay condition rule set” and “Timesheet setting”, see the screenshot below:
- Then you can either “Run report” or “Download” as an excel spreadsheet, and filter the employees to find which employees are setup for “Exceptions Only”
To change the employees Timesheets settings, please follow the steps below:
1. Click on “Management” followed by “Employees”
2. Click on the “edit” pencil icon and then click on “Pay run defaults”
3. Please choose the correct “Timesheets” settings from the drop down and then “Save”:
