** Please note that this will onboard the employee in the same state that they were when you terminated them IE Rosterable - ensure you change to non rosterable if there are other steps before they are cleared for rostering***
Invite a Returning Employee to Onboarding
In the scenario that you are Re Hiring an employee after previously terminating them in Roubler the process is slightly different to initiate their onboarding.
Please note that you cannot amend their email in an old employee profile to then create a new one any longer - attempts to do so will cause technical challenges during onboarding and support will no longer supporting this as a workaround.
1. In your employee dashboard, filter by 'Terminated' and locate the employee that you are going to re hire.
2. Open the employee profile and navigate to 'Employment Status'
You will see the employment history of the employee including their previous start and finish date, and termination reason.
- If the employee was checked as 'Re Employable' during termination you will see a 'Re-Hire' Button.
-
If the employee was not checked as Re Employable during termination you will see 'Reinstate Employee' instead. This will re activate the employee but does not send a new invitation and does not create a new pay engine profile (Which you must do if the employee was terminated more than 3 months ago in Australia to satisfy continuous service legislation)
- In this scenario please send a request to support@roubler.com to change 'Re Employable' to yes on the past termination to allow you to rehire correctly.
Re-Hire Employee
- Update employment details as applicable
- Attach new contract/required documents
-
You have the option to create a new pay engine profile and send a new onboarding invitations
- AU - If employee has been terminated for less than three months you can use their existing pay engine profile
- AU - If employee has been terminated for more than three months you need to create a new pay engine profile
- Check in the employee profile that they are 'Rosterable' before you try to roster them - the employee will be reactivated in the same state it was when terminated so if the setting was 'Non Rosterable' upon termination this will carry over and the employee will not be rosterable until you update this.
- Employee will need to follow the 'Log into existing account' Steps to log into Roubler when they receive their onboarding invitation
