Overview:
This feature on mobile clocking is an employee time-tracking system that allows employees to submit notes when they clock in, clock out, or start and end their breaks. The purpose is to enable employees to provide additional context or information related to their work hours or activities.
Scenario Overview:
-
Employee Time Tracking: Your organization has a system, possibly a mobile app, for employees to record their work hours, including clocking in and out and starting and ending breaks.
-
Note Submission: Within this time-tracking process, employees have the option to submit free-text notes. These notes are intended to allow employees to leave messages or provide details related to their timekeeping.
The benefits of this feature is to:
-
Enhanced Communication: Allowing employees to submit notes provides a channel for communication with their managers. They can convey important information or context related to their work hours, which can be valuable for both parties.
-
Documentation: The submitted notes serve as a form of documentation. This can be helpful for resolving any discrepancies or issues related to working hours in the future. For example, if an employee needs to explain why they were late or left early, they can do so through these notes.
-
Accountability: It adds an extra layer of accountability to the time-tracking process. Employees can provide explanations for any irregularities or deviations from the usual schedule, which can help in ensuring accurate and fair timekeeping.
-
Manager Awareness: Managers can be better informed about their employees' work situations and any exceptional circumstances that may affect scheduling or workload.
How it works?
1. An Admin user is able to control (add or edit) how the questions/notes would appear on clocking forms, so that employees can leave precise answers/messages on the timesheet.
Settings should include the following categories
-
Question text
-
Question type (currently just “Text” or “Yes/No”)
-
If response is Yes, then
-
Alert manager
-
Prevent clock in
-
Alert manager and prevent clock in
-
-
Required (meaning the user can’t continue until they’ve filled that out)
-
When to display? Choices of clock-in, clock-out, break-start and break-end, or any combination
2. Ability for the employees to leave clocking notes via the mobile app. (this will be ready in the next mobile release)
3. As a manager, any notes added by employees during the clocking process are visible to be able to take the necessary action during the timesheet/payroll processing.
Note:
- This also applies to the New Clocking Device for Browsers.
