Leave management is now faster and more efficient with our enhanced leave approval workflow. With bulk approval functionality, smarter handling of exceptions, and simplified notifications, this update ensures a seamless experience for managers at all experience levels.
Bulk Approval and Decline Options
Managers can now approve or decline multiple leave requests at once:
- Automatic Approval: Leave requests with no issues are processed automatically.
- Exceptions Flagged: Requests with issues (e.g., insufficient leave balance) are flagged, allowing managers to review them individually or bypass warnings in one click.
Handling Exceptions
The system highlights alerts for flagged leave requests, such as insufficient leave balance. For flagged requests:
- Managers can see affected dates and details, such as how many other employees are already on leave.
- Alerts ensure transparency, helping managers make informed decisions.
Approving Partial Leave Requests
If an employee requests more leave than they have available:
- If a request is placed and the employee does not have enough balance to cover the 'whole leave request period', Roubler will decline the whole leave request.
Example 1: Employee files for 8 hours of leave and only has 2 hours available, leave will be declined.
Example 2: Employee files 1 x Leave Request for a 7 Day Period but only has 5 days of balance available, the leave request will be declined.
Example 3: Employee files 3 x Individual Leave Requests (1 Day Per Request) and only has 2 Days of balance available, 2 of the requests will approve and the 3rd will be declined.
Simplified Email Notifications
To reduce unnecessary notifications:
- Employees receive one email summarising all approved leave.
- A separate one email summarises all declined leave.
How to Manage Leave Requests
Viewing Leave Requests
- Dashboard: Click Leave from the header.
- On the Manage Leave page, you’ll see:
- Pending leave requests (past and future).
- Options to Approve, Reject, Remove, or Edit requests.
Approving Leave Requests
- Find the leave entry you want to approve.
- If there are multiple, you can select the leave request box on the left shown below.
- Click the checkmark (✔) icon next to the entry.
- The leave request will be approved and reflected in the system.
Rejecting Leave Requests
- Find the leave entry you want to reject.
- If there are multiple, you can select the leave request box on the left shown below.
- Click the cross (✖) icon next to the entry.
- A modal will appear. Provide a reason for rejecting the request.
- Click Decline, and the leave request will be rejected.
Manually Adding and Approving Leave
If an employee is unable to submit leave via the mobile app or employee portal:
- From the dashboard, click Leave, then click + to add a new leave request.
- Fill in all leave details and click Save.
- The approved leave request will:
- Appear in the Roster.
- Be visible in Manage Time, ready for payroll (so long as you have the leave type set to auto create a leave timesheet. This setting can be found from your dash > management > settings > leave types)
Additional Information
- Web App Only: This feature is currently only available on the web app, not on mobile devices.
- Global Availability: The enhanced leave approval workflow is available in all regions.
