To log into Roubler, you first need to create a username and password. Follow the steps below to get started:
Receiving Your Invitation

Your employer will send an invitation to create your account. This will be sent to the email address you provided.

If you haven’t received the invitation, check your spam or junk folder—it may have landed there.

The email will include a link to create your account and may look like this:
Creating Your Account
- Open the invitation email and click the link that says “Click here to create your account.”
- You will see the welcome screen. Select “Create New Account.”
- You will then choose your Username and Password:
- Your Username can be either your email address or your mobile number.
- Choose a password you will remember, then click “Sign Up.”
Starting Your Onboarding
- Once your account is created, a “START” button will appear when the browser opens. You must click this button to activate your account and start the onboarding process.
Tips for a Smooth Onboarding
- Mobile-Friendly: You can complete onboarding on a desktop or mobile browser.
- Resuming Onboarding: If you need to stop partway through, log back in and navigate to “Onboarding” in the top-right corner to continue. Do not click "Start" again, as it may create errors like the example below.

Your onboarding may include any/all of the sections below. In addition, you may see additional customised steps that have been set up by your employer.
Job details
Your employer has filled in some key information for you already. Please review and ensure these details are accurate.
Consent
This section contains important information about how your employer and Roubler collect, store, and use your data while you use the Roubler platform. Please review and accept Roubler's privacy policy and data use policy.
Personal information
Your employer may have filled in some key information for you already. Please review any completed information and fill in any missing information.
In some instances, you may need to provide ID as part of this step. This could be be one of the following: Driver's license, 18+ card, passport.
Address information
Ensure all details are filled in accurately.
Tax declaration
Most countries require all new employees to complete a tax declaration, so that their employer can expedite payment of local, state, or federal income tax (or withholding) on your behalf. It is crucial to provide honest and accurate tax information (as with all information in your employee profile) so please take the time to understand the tax declaration form. Talk to your hiring manager or employer if you are unsure how to complete this section.
Bank information
Your employer collects bank information for the purpose of making automatic payments of your salary and wages. Please complete your bank details carefully, and check your account number, account name, and branch information is accurate to ensure that there are no issues with payroll.
Superannuation/Kiwisaver (Australia & NZ Only)
Ensure all details are filled in accurately.
All Australian employees need to notify their employer of their superannuation contribution preferences. To make things easy, many employers have a preferred fund, that you can join automatically when starting with your employer. You can also refer your employer to pay your superannuation to an existing managed fund, or self-managed super fund.
Right to work
All employers have an obligation to ensure that their employees have the right to work, and are citizens, permanent residents of that country, or hold the appropriate work visa. Your employer may ask you to indicate your citizenship status for the country that you are being employed in. If you are a permanent resident or visa holder, you may be asked additional questions, such as your country of birth, or to provide your work visa details so that your employer can confirm that you have the appropriate work rights for the country that you are in.
Requirements
In your new position (or at locations in which you will be working) you may be required to hold specific qualifications, licenses, or show evidence of vaccination against COVID-19. Any requirements, qualifications, or licences that you are asked to complete as part of your onboarding are listed in this section. You may be required to attach evidence of your qualification, such as a certificate, or similar.
Emergency contact details
Many employers have a requirement to maintain emergency contact information for their employees, so that a spouse or next of kin can be contacted if necessary. Please enter an emergency contact that your employer can communicate with in case of an emergency.
Declaration
- Click Sign to declare that all information provided is correct
- Click Submit
- You will see a confirmation message appear briefly on screen
- You will also receive a confirmation email
If each tab is filled in correctly and "Save and Next" is selected on each tab a green tick will appear indicating it has been successfully saved. If the green tick does not appear on every tab your onboarding will not be successful and you may need to go back and complete some tabs again.
Additional Notes:
- Your employer may include extra steps like custom forms or documents to acknowledge. Ensure all sections are completed and checkboxes ticked before submitting.
- Once onboarding is finished, you will see a confirmation message on screen and receive a confirmation email.
Access PIN
- If your employer uses an on-site kiosk, your Access PIN (provided during onboarding) is required for clocking in/out.
- This PIN cannot be changed.
- If using the mobile app for time tracking, you can disregard the PIN.
