Cost centres is a feature in Roubler that allows you to associate a cost with shifts so you can get a view of projected vs. actual costs for a specific area of the business, or a specific event.
How do I enable this feature?
To enable cost centres, go to Management > Settings > Company Settings.
Under Features, select "Enable cost centres", then select "Save".
How do I create a cost centre?
There are two ways you can create a new cost centre.
Option 1: Via cost centres
- Go to Management > Settings > Cost Centres
- Click the + button
- Enter the name and sales to associate with the new cost centre
Note: The currency is already localised to your country - Select "Save"
- Your cost centre will now display as a list with the following fields:
- Name: Name of the cost centre for your reference
- Shifts: The number of shifts associated with this cost centre
- Sales: The number of sales associated with this cost centre
- Hidden: Yes or No. This will determine if the cost centre is hidden from use in the schedule.
Option 2: Via templates
- Go to Schedule, select the + button, then select Templates
- Drag a pre-saved template onto the schedule
- A popup to apply the schedule template will appear
- Check the box that says "Create a new cost centre"
- Select "Save".
How do I assign shifts to a cost centre?
There are five ways to assign shifts to cost centres.
Option 1: Manually by adding or editing a shift
- Add a new shift (or edit an existing one)
- Check the box that says "Show advanced"
- Under "Cost Centre", choose the relevant cost centre you want to use
- Select "Save".
Option 2: Via templates
- Go to Schedule, select the + button, then select Templates
- Drag a pre-saved template onto the schedule
- A popup to apply the schedule template will appear
- Choose the relevant cost centre
- Select "Save".
Option 3: Drag and drop a shift to the cost centre
You can also assign shifts by grouping the schedule by cost centre and dragging to the cost centre's row.
Your shifts are now assigned to the cost centre.
Option 4: Apply the cost centre to the employee profile
1. Management>Employee>Select Employee
2. Navigate to Finance and Payroll tab
3. Edit the employee profile and assign the desire cost centre (Employee cost centre will override any other cost centre selection).
4. Newly created shifts will now be assigned to the cost centre
Option 5: Apply the cost centre to the location
1. Management>Settings>Edit Locations
2. Select the Location to be updated
3. Add the Cost Centre to the location and save
4. Newly created shifts will now be assigned to the cost centre
How do I view shifts associated with the cost centre?
In the schedule view, use the "View by" option to select "Cost Centre".
In this example, you will see that Friday Sales is now grouped in this cost centre.
You can also see the associated cost centre per shift.
How do I view the cost centre reports?
When your shifts are published, it will start tracking your rostered sales so they can be compared to actual sales and calculate your labour efficiency.
This is the Variance By Cost Centre report, located under Management > Reporting > Analysis.
This report will display the following information:
- Cost Centre: The name you gave the cost centre
- Wages: Rostered vs Actual wage costs of the associated cost centre
- Hours: Rostered vs Actual hours of the associated cost centre
- Average Hourly Cost: Rostered vs Actual average hourly cost of the associated cost centre
- Sales: The inputted sales amount
- Labour Efficiency: This calculates the actual wages vs the actual sales and displays in a percentage format.
You can choose to export this report as a CSV for further analysis.
