This page allows managers to upload a file, send it to their employees, sign and download a document.

We've overhauled our existing document management facility to make it much easier to use, much more aesthetically pleasing and enhancing the functionality.
How to create a folder?
On the dashboard, click on Management > Documents where will direct you to the Document Library.
1. To create a folder, simply click on the New Folder button.
2. A panel will appear on the left side of the page:
- Label the folder's name on the red line
- Choose a folder where you would like the new folder to be saved
- Click the Save button to save the folder
3. The new folder will now be saved and will appear under Your Files
- Double-click on the folder to open and browse any files.
- Inside a folder, you are able to upload a file, sign, download and send a file to employees.
How do I move a folder to a different existing folder?
1. To move a folder to another folder, simply click on the folder under Your Files, then click More option
2. A move panel will be displayed:
- Select the new Folder where you would like it located
- Click the Move button upon selecting the new location
How do I delete a folder?
1. To delete a folder, simply click on the folder then click More option
2. A modal should be displayed, click the Delete link
- Please note that when deleting a folder, it will delete all the files and folders inside that folder as well.
How to upload a file?
1. To upload a file, click on Upload File button
- You can either Browse a file using the Browse files button or;
- Drag and Drop a file
2. Upon uploading a file, the file should be successfully uploaded and displayed under Your Files
- Note: You can only upload or Drag and Drop a file one at a time
How do I sign a file?
1. To sign a file, simply click on an existing file;
- Options should then appear above:
- Sign, Send, Download, More - in this case, we will use the Sign option
- A sign panel should then appear
- Tick the "I agree to the above" checkbox
- Draw your signature on the signature line
- Click the Submit button
2. Upon submitting your signature, file should be signed successfully.
- Click the Got it button
3. To check if the file was signed successfully, click on the file again then click on the Sign
- Date and Time of Last Signed should be displayed
How do I send a file to employees?
1. To send a file to an employee, simply click on the file you would like to send.
- Options should then appear above:
- Sign, Send, Download, More - in this case, we will use the Send option
- You should be able to send a file to a single employee, group of employees or a whole location
- Please note if you send a file to a group of employees or a whole location, sending the file might take a while.
- Please do not close or refresh the page while the file is sending as that will stop the action.
2. In the To textfield, search for the name of employees;
- A dropdown list should be displayed:
- Select the name of the employee/s
- If the Request Signed Acknowledgement checkbox is ticked, this will require the employees to sign the document.
- If you select a whole location:
- The file will be sent to all employees under that location
- Location should have a house icon
- If you select an access or a custom permission group access:
- The file will be sent to all employees with that access
- Access or Custom permission group access should have a person icon
3.Click the Send button to send the file
- Upon hitting the Send button, please wait until the loading screen is gone to avoid interrupting the action.
- Employees should receive an email notification that they have been invited to view and or sign a document.
How do I download a file?
1. To download file, simple click the file you would like to download then click the Download link option
- File should be downloaded automatically.
- If file was not downloaded, please kindly ensure that your browser's setting for Automatic Download is turned on.
How do I move a file to a different folder?
1. To move a file to another folder, simply click on the file then click More option
2. A move panel should be displayed:
- Select a different folder then click Move button
How do I check who have access to a file?
1. To check who has access to a file, simply click the More option
2. Under Accessible By: you should be able to see who have access to a file
How do I add an employee, location, or access to have an access to a file?
1.Click the + button
- Under 'Accessible By' you will see a drop down with a list of permission levels/employees/location.
- Select the desired Permission level, whether it be that you would like all staff with Manager access to view the document or all staff with Employee access.
2. A dropdown list should be displayed:
- Select the name of the employee/s
- If you select a whole location:
- The file will be sent to all employees under that location
- Location should have a house icon
- If you select an access or a custom permission group access:
- The file will be sent to all employees with that access
- Access or Custom permission group access should have a person icon
3. Click the Save button
How do I remove an employee, location, or access from a file?
1. Click the - button then click the Save button
How do I delete a file?
1. To delete a file, simply click on the file then click More option
2. Click the Yes, delete button.
