Key Features
IMPROVED: Award Update Notifications & Information (Australia Only)
We have streamlined the way in which the Award Update Notifications from the Pay Engine Display in Roubler.
This will ensure that your payroll teams can clearly identify 'what' Awards require updating, 'when' they require updating & access to the 'Award Update Article' which outlines the changes occurring and whether your payroll team need to make any amendments to their awards prior to installing these updates.
In addition to the improvements below, please also see our Knowledge Base Article which runs through how Award Updates can be installed by your Payroll Team:
How to correctly Apply Award Updates
Improvements Include:
- Award Dashboard Tile is now flagged in red as 'Important' and will appear at the start of the Tiles to ensure it is not missed. It will also advise how many Award Updates there are. Once they are installed or dismissed, the number will reduce.
- When you click on the 'Tile' it will take you to a 'List' of the 'Award Updates'. From here, you can click on the 'More Information' tab prior to installing the updates and review what is changing and whether any 'amendments' to your employee pay configuration are required before installing. See below:
- You can 'Follow' the Article in the top right corner to receive future email updates on this specific article
- From the List, you can also go to the 'Apply Updates' page which will take you to the screen where you can officially apply/install the Award Update once you have checked through the above
Document Templates for Draft Employees
Managers and admins can now send document templates to draft employees with an Invited or Onboarding status. These templates will expire 7 days after being sent. Draft employees can review and sign the document templates without needing to create an account.
Please Note:
- This feature is currently available on desktop only and is not accessible via mobile devices.
- Once the template is sent, employees will receive a notification about the pending document for review and signature.
- This enhancement is available in all regions.
You can find further details on Document Templates here.

Enhanced Leave Approval Workflow for Managers
Managing leave requests is now more efficient with the addition of bulk approval functionality on the Leave Request screen. Previously, managers could only bulk decline leave requests, but this update introduces new options and improved transparency:
Key Features
Handling Exceptions
- If a leave request has no alerts, it will be automatically approved.
- If a leave request has alerts (e.g., the employee doesn't have enough leave balance), the system will flag these exceptions. Managers will see the affected dates and how many other employees are already on leave.
More information on this feature can be found here.
Approving Partial Leave Requests
If an employee requests more leave than they have available:
- If a request is placed and the employee does not have enough balance to cover the 'whole leave request period', Roubler will decline the whole leave request.
Example 1: Employee files for 1 x Leave Request for 8 hours of leave and only has 2 hours available, leave will be declined.
Example 2: Employee files 1 x Leave Request for a 7 Day Period but only has 5 days of balance available, the leave request will be declined.
Example 3: Employee files 3 x Individual Leave Requests (1 Day Per Request) and only has 2 Days of balance available, 2 of the requests will approve and the 3rd will be declined.
Bulk Actions for Leave Requests
- Managers can now bulk approve or deny multiple leave requests in a single step.
- Leave requests without issues will proceed automatically.
- Requests with exceptions (e.g., insufficient leave balance) will be flagged for review, allowing managers to address them individually or bypass warnings with one click.
Simplified Email Notifications
- Employees will receive one email for all approved leave and one email for all declined leave, reducing unnecessary notifications.
Additional Information
- This feature is currently available only on the web app, not on mobile devices.
- The feature is available in all regions.
Enhancements to Tiered Limit Pay Conditions for Award Interpretations
We’ve made the Tiered Limits option in pay conditions more flexible and easier to use, so you can set up rules more effectively.
What’s New:
- Sub-Conditions: You can now add extra conditions to tiered limits, similar to the "When [condition]" feature in other rules.
- Smarter Logic: Tiered limits now use a "matches and execute condition" system, replacing the old input group setup.
Important:
- Existing Tiered Limits rules will still work the same as before but won’t include the new features.
- A note in the system will suggest replacing old rules with the updated Tiered Limits to use the new features.
When you choose the Tiered Limits option, new settings will appear, including a "When" condition that gives you more ways to customise your rules. One of the new features is Group Timesheets, which lets you combine split shifts into a single group within a specific time range.
You can find further detail on how to create and manage pay rules here.

Employing Entity Selection in Employee Invite Panel (ANZ Specific)
The Employing Entity option in the employee invite panel now displays all available entities when multiple employing entities are configured.
If only one entity is set up, the option remains hidden, and the system automatically assigns the default entity to new employees.
This update allows managers to easily select the correct employing entity for each employee when multiple entities exist.
User Experience Improvements
Calendar Picker Improvement
The calendar option will no longer display when the date field is disabled.
QR Code Improvement
The QR Code to connect 2FA/MFA will now load/appear correctly for any users who need to activate 2FA.
Shifts with Dismissed Alerts Treated as Active Alerts
Shifts with dismissed alerts were incorrectly treated as shifts with active alerts, leading to unexpected behavior during publishing and filtering.
Shifts with dismissed alerts are now correctly treated as alert-free when publishing or filtering.
Ordinary Hours Setting Not Saving
The Ordinary Hours setting for locations was not staying saved after being updated. This issue has now been resolved. The Ordinary Hours setting will remain saved as expected when updated.
Enhancements
Improved Leave Request Handling for Overnight Shifts
Employees without standard hours faced an issue when requesting leave for a day following an overnight shift (e.g., Friday night to Saturday morning). The "Full Day" option incorrectly selected the entire 24 hours, overlapping with the hours already worked.
The start and end times are now visible when using the Full Day or Half Day options in the leave request modal. This ensures users understand the exact times being submitted with the leave request.
Validation for Tax File Number in Onboarding (ANZ Specific)
Previously, the system allowed employees to save the tax declaration step during onboarding without entering a valid Tax File Number.
Validation has been added to ensure a valid Tax File Number is required before the tax step can be saved or submitted.
This update ensures compliance and accuracy in the onboarding process.
