Overview
Roubler offers a New Clock App (recommended) and a Web Clock (for desktop browsers) so employees can clock in/out and record breaks reliably. The key change with the New Clock App is that you must create a dedicated Clock Device User (a system user used only to run the device/kiosk).
This guide walks you through:

1) Choose the right clocking option
Use this as your “which setup do I need?” cheat sheet:
Tablets (iPad / Android tablet)
Use the Roubler Clock App (New Clock App).
Desktop / laptop computers
Use the Web Clock in a browser (Chrome recommended). Desktop devices should use the browser clock (not the tablet app).
Employee self-service (optional alternative)
Employees can also clock using the Roubler mobile app (if your business enables mobile clocking).
2) Set up a Clock Device User (required)
This is the most important step for the New Clock App.
Create the Clock Device User
- Go to Settings → Manage System Users
- Select Create new system user (Admin access required.
- Complete the fields (recommended format):
- Location: select the location this device will be used at
- Permission Group: Clock Device (required)
- First Name: e.g. Wollongong Clock (or Clock)
- Last Name: Device

Email Address: must be unique and used as the username
- Example: admin+clockdevice@yourbusiness.com (if your email provider supports “+” aliases)
- Under Send Invite To, choose where you want the invite email sent (usually your admin email inbox).
Accept the invite and create the login
- Open the invite email
- Select the green button to complete setup
- Choose Create new account
- Set the Username = the Clock Device User email and create a password
- Tip: If you were already logged into Roubler in your browser, open the invite in an Incognito/Private window so it doesn’t attach to the wrong session.
Example setup
- Clock Device User email: payroll+goldcoastclock@company.com
- Device/kiosk name: Gold Coast Clock Device
3) Register and sign in to the device
Once the Clock Device User is created:
- On the device (tablet or browser), open the clock app/clock page
- Select Sign In
- Enter the Clock Device User username + password
- Select Company
- Select Location
- Enter the Clock Device PIN when prompted (from the setup/registration info) ((also found within the Personal Information page within the clock profile))
After sign-in, you may see device options like:
- Refresh Location Data (forces an updated employee list)
- Change Location
- Log out
4) Recommended device settings (keep the clock running)
The clock app is designed to be always on, plugged in, and kept open.
iPad (recommended)
Go to: Settings → Display & Brightness → Auto-Lock → Never
Android (varies by device)
Go to: Settings → Display → Screen timeout → Never
If “Never” isn’t available, use an “always on” screen helper app or your device’s kiosk mode settings.
Important: If the device sleeps, locks, or the app runs in the background, it may log out depending on device/app behaviour.
5) Key company settings that affect clocking
Allow employees to select a clock-in location
Use this if employees work at sub-locations (child locations) under the main clock location.
- Go to Settings → Company Settings → Clocking
- Toggle Allow employees to select clock in location = Yes
What employees see: a location picker at clock-in (sub-locations).
Use employee’s primary location in timesheets
This affects timesheet location when there is no shift attached.
- If enabled, timesheets default to the employee’s Primary Location when they clock without a shift.
Note: This does not override a rostered shift location—shift location always wins.
6) Clock questions (optional)
Clock questions collect info at clock-in/out/breaks (e.g. “Did you complete the safety checklist?”).
Turn on clock questions
- Go to Settings → Company Settings → Clocking
- Enable Clock questions
- Save
Create clock questions
- Go to Settings → Clock questions
- Select Add
- Choose:
- Question type: Yes/No or Text
- Which clock events trigger it (clock in, clock out, break start/end)
Optional: email alerts for “Yes” responses (Yes/No only)
Editing or Deleting Clock Questions
Go to Settings > Clock questions to bring up the list of questions.
- To delete a question, click Remove, then confirm your decision.
- To edit a question, click Edit, update the event triggers and manager alert setting, then click Update to save.
You can't edit the Question text or Question type fields — create a new question instead.
Reporting
There are two reports:
- Clock questions details (all responses, trends)
- Clock questions follow up (only those needing follow-up)
7) Shift enjoyment (optional)
This feature prompts employees to rate their shift (good/neutral/bad) at clock-out in the mobile app.
To enable:
- Settings → Mobile clocking
- Toggle Enable shift enjoyment = Yes
- Choose frequency
Note: Employers see trends, not individual ratings.
8) Photos captured during clocking
If your clocking setup captures photos at clock in/out:
- Who can view photos? Users who can view the related timesheets (typically managers/payroll users)
- Where are photos stored? Secure storage (Amazon S3)
- How long are they stored? Indefinitely, unless deletion is requested
9) Troubleshooting
A) iPad screen is blank / white / stuck loading
Try these in order:
- Check connectivity
- Confirm the iPad can load a normal website (e.g. a news site)
- Force close the clock app and reopen
- Swipe up (or use app switcher) → close the clock app → reopen
- Restart the iPad
- Reconfirm Auto-Lock is set to Never (see Section 4)
- Log out and log back in using the Clock Device User
- Confirm the clock user has not been deleted
- If it still happens:
- Update the app (App Store)
- As a last resort: uninstall/reinstall the clock app (note: if the device was holding offline logs, reinstalling may clear them)
B) Clock works on-screen, but nothing appears on Attendance / there’s a red dot
This usually indicates internet/Wi-Fi connectivity.
- On the tablet, open a browser and test loading a stable website
- If websites don’t load:
- Check Wi-Fi network, password, signal strength
- If websites do load:
- Turn Wi-Fi off for 10 seconds, then back on
- Wait 1–2 minutes
- The clock app can store up to ~1,000 events offline and will push them through when reconnected
C) Device keeps logging out
Common causes:
- Device sleeps/locks
- App is running in the background
- OS/app updates or memory optimisation
Fixes:
- Keep device plugged in
- Set screen timeout to Never
- Keep the clock app in the foreground
- Update the clock app to the latest version
D) Employees can’t see the right location / wrong timesheet location
Check:
- Is Allow employees to select clock in location enabled? (Section 5)
- Is the employee’s Primary Location set correctly?
- Are they clocking onto a rostered shift?
- If yes, the shift location will be used.
E) Need to “restart” the clock app
General restart steps (varies by device):
- Open the app switcher / “Recents”
- Swipe the clock app away to close it
- Reopen the clock app
If your tablet uses app pinning/kiosk mode, you may need the device passcode to exit.
F) Nothing happens when you tap clock options / pages don’t load
This is often browser/session-related (especially on shared admin computers).
Try:
- Incognito/private window
- Clear cache/cookies
- Disable browser extensions (ad blockers/privacy tools can interfere)
- Try Chrome (recommended) or Edge as a test
10) FAQs
Do I need a “Clock Device User”?
Yes (New Clock App). Each device should be logged in using a Clock Device User with Clock Device permissions.
Can I use one clock login for multiple locations?
Yes—if the Clock Device User has access to multiple locations, you can use Change Location on the device.
Do we still need “Location Devices” registration?
That was primarily for legacy web clocking devices. The New Clock App uses the Clock Device User approach.
