For New Zealand, Roubler 26.1.0 includes changes to help you keep compliant with the KiwiSaver changes on April 1.
Across all countries, we've added some new pay rule logic to help with overtime scenarios, easier access to Flare and other employee benefit schemes, and a large number of smaller changes and fixes.
New features
KiwiSaver contribution changes (NZ)
From 1 April this year, the default KiwiSaver contribution rate is rising to 3.5% (from 3%) for both employers and employees.
To make this easier, we've made a few changes to how you manage KiwiSaver in Roubler, starting with adding 3.5% as an option for KiwiSaver rates.
We've also made some more changes to make it easier for administrators and managers to view and update KiwSaver rates:
You can now add KiwiSaver Status, KiwiSaver Employee Contribution, and KiwiSaver Employer Contribution as columns on the Employees screen, so you can see at a glance what rates everyone is on.
These columns are hidden by default, click Show/hide columns to add them in.You can now update KiwiSaver Employee Contribution and KiwiSaver Employer Contribution in bulk by selecting the employees and using the Modify action.
We've made the bulk Modify action available to users with the Payroll Manager role. It was previously only available to users with the Payroll Administrator role.
To update KiwiSaver rates, users will also need the Payroll and Write Employees permissions.
We also fixed an issue that stopped you from saving KiwiSaver rates with a decimal value.
To bulk update your employees' KiwiSaver rates:
- Go to People > Employees.
- Click Show/hide columns and select the three Kiwisaver fields:
- KiwiSaver Status
- KiwiSaver Employee Contribution
- KiwiSaver Employer Contribution
- Use the Filters menu if you want to exclude certain employees from the list, e.g. a certain position or pay group who you know are already on more than the new default 3%.
- Select the employees to update by ticking the boxes to the left of their name. To select them all, tick the box next to the First Name heading.
- Click Bulk actions > Modify to bring up the bulk modify panel.
- Select 3.5% for both employee and employer KiwiSaver contributions.
A confirmation screen appears. - Click Confirm bulk update to complete the change.
Once they're updated, you'll see the new rates on the employee list.
Smarter handling of overtime that spans multiple pay periods
To give you more flexibility with overtime, and other pay conditions that rely on timesheets that may fall outside the pay period, we've improved the logic so that pay runs can now take timesheets outside the current pay period into account.
Specifically, pay runs can now take into account prior pay runs for the purposes of calculating overtime or other entitlements with limits that may not match with the dates of the pay period.
This will be turned on by default for new pay runs, but you can turn it off with the slider when starting the new pay run.
Easier access to employee benefits
To make it easy for users to access their employee benefits, we've added a Benefits tile to the mobile app and the employee profile on the web app that links to your provider.
If you use the Flare Apollo integration, clicking the tile will also create Flare profiles for users that don't already have them, so they can easily get signed up after onboarding.
Other changes
You can view the data in either the current timezone, or each location's timezone in the Variance by Location report, using a new drop-down.
We've added some new tooltips to help you navigate the system.
Your custom logo how shows in the navigation header.
You can now add the Employee's external reference field as a column on the Timesheets screen.
Expense requests from terminated employees now show in the Expense Requests Report.
(AU) The validation of the Working holiday visa and Australian tax resident options on the tax declaration page is improved.
(SG) Address fields are now restricted to 40 characters and the post code field is now optional for foreign addresses.
(NZ) We've increased the upper limit for IRD number validation to 200-000-000
Fixes
We've added an extra guard to prevent bulk submitting already payrolled timesheets, which could cause duplication.
Fixed issue with audit logs not being created for bulk timesheet modification.
Restricted managers from updating employee locations before completing their onboarding, as it can stop onboarding from completing.
Fix layout on the roster and certain report and payroll pages.
Fixed an issue where any failure from Flare would block the Flare Benefits onboarding flow.
Fixed issue with Manage Leave screen showing a duplicated date entry in the leave info breakdown for a multi day leave request.
Fixed an issue causing updates to require a refresh when updating an employee's permissions via the Employee Access page in Settings.
Resolved problem where entering an invalid date range on a leave request would cause the timesheet calculation to not appear, even after fixing the date range.
Fixed the tooltip on the image input component showing undefined when a file is not uploaded.
Fix validating new phone numbers which are marked as invalid.
Fixed an issue causing some dates to show the incorrect year.
Fixed how timesheets table displays when there are no timesheets.
The Employee Probation report and dashboard tile no longer include deleted employees in results.
Fixed an "Internal server error" when importing pay types.
Fixed an issue where if you selected all rows in a table, the selection was not cleared when navigating to the next page of the table.
(AU) Fixed an issue that was preventing the ABN of employing entity's being deleted from employee records.
(AU) Fixed an issue preventing employees from choosing some super options on sites not using Flare integration.
(AU) Fixed an onboarding issue where the Right to Work step was mistakenly requesting a visa for permanent residents who are NZ citizens.
(NZ) Fixed an error preventing decimal values from being saved for the default employer KiwiSaver contribution in company settings.

Some very useful changes and fixes - next could we please get Employee's external reference field as a column on the Manage Leave screen?
