Overview
When you create or validate a Beam super batch, Roubler checks the employee and super fund information before allowing contributions to be submitted.
During this validation process, you may see either:
Error
An error will prevent the affected contribution from being included in the batch.
You can either:
- Fix the issue; or
- Exclude the affected employee from the batch and continue processing the remaining contributions.
Warning
A warning will not prevent the contribution from being submitted.
However, warnings should still be reviewed and corrected where possible to prevent future payment issues.
Viewing Error and Warning Details
When a batch is validated, any errors or warnings will appear against the affected contribution.
Customers should click the information icon beside the contribution to view additional details.
Common Errors
Missing Super Fund Details
What does this mean?
The employee does not currently have valid super fund details recorded.
Can I submit the batch?
❌ No
The contribution cannot be processed until valid super fund information is entered.
How to fix it
- Open the employee record.
- Navigate to Super Details.
- Add or correct the employee's super fund.
- Save the changes.
- Return to the batch.
- Click Refresh or Validate.
Missing Member Number
What does this mean?
The employee's super fund requires a member number, but one has not been entered.
Can I submit the batch?
❌ No
How to fix it
- Open the employee's super fund details.
- Enter the member number.
- Save the changes.
- Return to the batch and Validate again.
Super Fund Not Set Up For Automatic Payments
What does this mean?
Beam cannot validate the fund as SuperStream compliant.
This may occur because:
- The fund details are incomplete.
- The ABN is incorrect.
- The USI is incorrect.
- The fund is no longer accepting contributions.
Can I submit the batch?
❌ No
How to fix it
Review the employee's super fund details and ensure:
- Fund name is correct.
- ABN is correct.
- USI is correct.
Super Fund Has Been Deleted
What does this mean?
The employee is linked to a super fund that no longer exists within the payroll platform.
Can I submit the batch?
❌ No
How to fix it
Assign the employee to a valid super fund and validate the batch again.
Invalid ABN or USI
What does this mean?
The super fund cannot be validated against current SuperStream records.
Common messages include:
- ABN does not match a regulated fund.
- USI does not match a regulated fund.
- Fund cannot accept contributions.
Can I submit the batch?
❌ No
How to fix it
Review the fund details and confirm:
- ABN
- USI
- Fund name
The ATO Super Fund Lookup can be used to verify current details.
Refund Bank Account Missing
What does this mean?
A refund bank account has not been configured.
Beam requires a refund account in case contributions need to be returned.
Can I submit the batch?
❌ No
How to fix it
Navigate to:
Payroll Settings > Superannuation Settings > Refund Bank Accounts
Add:
- Account Name
- BSB
- Account Number

Direct Debit Errors
What does this mean?
The bank account used for direct debit contains invalid information.
Common examples include:
- Missing account name
- Missing BSB
- Invalid BSB format
- Invalid account number
Can I submit the batch?
❌ No
How to fix it
Review the direct debit details and correct the invalid information.
SMSF Errors
SMSF Not Active
What does this mean?
The SMSF ABN is no longer recognised as a complying fund.
Can I submit the batch?
❌ No
How to fix it
The employee should contact their SMSF administrator.
Contributions cannot be paid until the fund becomes compliant.
Missing Electronic Service Address (ESA)
What does this mean?
An ESA is required for all SMSFs.
Can I submit the batch?
❌ No
How to fix it
Obtain the correct ESA from the employee or SMSF administrator and update the fund details.
SMSF Bank Details Missing
What does this mean?
The SMSF bank account details have not been entered.
Can I submit the batch?
❌ No
How to fix it
Add:
- Account Name
- BSB
- Account Number
to the SMSF setup.
Common Warnings
Employee Details Warning
What does this mean?
Some employee information may be incomplete or does not exactly match fund records.
Can I submit the batch?
✅ Yes
Should I fix it?
Yes.
Warnings will not stop payment, but correcting them reduces the likelihood of future contribution rejections.
SMSF Warning
What does this mean?
The SMSF information cannot be fully validated.
Examples include:
- ESA cannot be verified.
- SMSF information appears incomplete.
Can I submit the batch?
✅ Yes
Should I fix it?
Yes.
It is the employee's responsibility to ensure the SMSF and ESA details are correct.
