Permissions required: Managers and above
You can now track employee probation periods and outcomes directly from the employee profile. This feature helps manage onboarding processes more effectively and keeps a clear history of probation status updates.
1. Setting Up Probation Defaults
To define default probation settings:
-
Go to Management > Settings > Company Settings.
-
Select the Onboarding tab.
-
Set your default probation period and choose whether probation should be automatically enabled for new employees.
2. Defining Probation Period During Employee Onboarding
When inviting a new employee:
-
Navigate to Management > Employees > Add Employee.
-
Fill out employee details and scroll to the probation section.
-
Enable or disable probation as needed.
-
If enabled, define the probation length (e.g., 3 months).
3. Updating Probation Status
Once an employee is onboarded, you can update their probation outcome:
-
Go to Management > Employees.
-
Select the relevant employee.
-
Open the Employment Status tab.
-
In the Probation History section, choose an outcome:
If Passed:
-
Select Outcome: Passed.
-
Add review notes and any supporting attachments.
If Extended:
-
Select Outcome: Extended.
-
Set a new probation end date.
-
Add review notes and attachments.
If Failed:
-
Select Outcome: Failed.
-
Add review notes and attachments.
Important: Marking a probation outcome as Failed does not automatically terminate the employee. You will need to complete a separate termination process if applicable.
4. Probation Reporting
You can view upcoming and pending probation outcomes using the Employee Probation Report.
To run this report:
-
Navigate to Management > Reporting > Employee.
-
Select Employee Probation Report.
-
Use the filter to update the “Ends on or before” date to see employees approaching probation review.
Dashboard Criteria (for quick view):
-
Employee has probation status = pending.
-
Probation end date is within 60 days of today.
-
Employee is active and visible.
-
Casual employees may still appear if default probation is set in Company Settings.
-
Switching employment types has no impact.
-
Archived profiles are included as their status remains Active.
