Any changes to company settings made will be globally, across your entire business.
Shift requirements help ensure you only fill shifts with employees that have the necessary qualifications or license to perform the duties of that shift - for example, a forklift license, a responsible service of alcohol certification, or a Covid-19 vaccination.
Once these are set up, you can select this shift requirement when creating a shift. This will then only allow you to select employees that meet that requirement from the dropdown list of employees.
Create and edit shift requirements
- Go to Management > Settings > Shift requirements
- Click Add new or Edit
- Enter the Name of the shift requirement; for example, forklift license
- Enter an Abbreviation if you would like a shorter name to appear in the roster
- Under Restrict viewing to permission groups add any necessary permission groups. This will ensure only users with the selected permission groups will be able to view and create shift requirements of this type.
- Check Expires to make it mandatory for employees to enter an expiry date. This is useful for items such as licences or safety certificates which may need renewing at a later date.
- Check Requires evidence to make it mandatory for employees to upload a document as proof that they meet these shift requirements.
- Click Save
Delete shift requirements
- First, ensure that no employees have this shift requirement associated with them - otherwise you will be prompted to do this.
- Click the pencil icon to edit an existing shift requirement
- Click Delete
- Click OK.
Apply a requirement to a specific location
- Click Management > Settings > Locations
- When you edit an existing location or add a new one, you will now see a new Requirements field.
- Click Add Requirements to add specific Employee Requirements to this location. In the example below, all employees at Ann Street Mall will be required to provide their Covid-19 vaccination status.
- Important note: This feature will prevent employees who do not meet the requirement from being rostered on, from the time this setting is updated.
Apply a requirement to a specific position
- Click Management > Settings > Positions.
- When you edit an existing position or add a new one, you will now see a new Requirements field.
- Click Add Requirements to add specific Employee Requirements to this location. In the example below, all employees with the position of Retail Assistant will be required to provide their Covid-19 vaccination status.
- Important note: This feature will prevent employees who do not meet the requirement from being rostered on, from the time this setting is updated.
Update requirement status for employees
- In order to be rostered on, employees will need to update their status for the new requirements.
- This can be found under Licenses and Training.
- In the example below, the employee will need to upload evidence of their vaccination status.
Create a roster in line with requirements
- When building a roster, only employees who comply with defined Employee Requirements will be available to fill a shift.
View the status of an requirement
- In the example below, only those with Partner access and above will be able to see the status of this Requirement.
- For those with sufficient permissions (i.e. Partner and above), Covid-19 Vaccination Status is visible in the list.
- For those without sufficient permissions (i.e. below Partner), Covid-19 Vaccination Status is not visible in the list.
