Assuming that the alerts are enabled. Below you will see what each alert looks like in the Roster page and how to correct them.
Shift Alerts
1. Overlapping Shift
This alert is triggered when an employee has two or more overlapping shifts on the same day. To correct this, ensure that the shift time should not overlap with one another.
2. Overlapping leave
This alert is triggered when an employee's shift is overlapping an approved leave. To correct this, either delete the shift or decline the leave, whichever applicable.
3. Minimum break
This alert is triggered when an employee's shifts do not meet the minimum hours of break between shifts. This can be set on the 'Minimum Break Hours' parameter and is applied throughout the company.
- The next shift start time was less than 12 hours minimum break from the first shift end time thus the system warns you about the violation of the minimum break hours rule for the both shifts.
- To correct this, adjust the time in either shift to more than 12 hours of break between shifts.
3. Out of Standard Hours
This alert is triggered when an employee's shift is outside of their set standard hours. You would need to click on the shift and request to temporarily vary an employee's standard hours to dismiss this alert.
- Employee's shift is outside the standard hours which can be crossed checked on their Employee Profile > Schedule tab.
- To correct this, follow one of the options below:
- Option 1: you would need to delete the shift then add a new shift and match it to their saved standard hours.
- Option 2: send in a temporary vary standard hours request (subject for employee's approval).
- Option 3: update the standard hours if outdated or the standard hours have been changed recently.
4. Over max hours
This alert is triggered when an employee's shifts have exceeded their maximum number of hours per week. This will flag the set of shifts that violate this rule in red. To adjust the maximum hours per week an employee can work, go to their profile then go to the settings tab.
- Employee's shifts exceeded the set maximum number of hours per week. In the example above, John Smith set maximum hours is 10h, his shifts in the Schedule is 17h thus the system warns you about the violation of the maximum hours rule.
- To correct this, (Option 1) Adjust the maximum hours or (Option 2) Adjust the worked shift hours.
5. Invalid requirement
This alert is triggered when an employee does not meet the requirement of the shift he is rostered to.
- Employee's shift has requirement but the employee does not have the requirement in their profile.
- To correct this, either add the requirement to the employee or delete the requirement of the shift.
6. Terminated employee
This alert is triggered if a terminated employee still has rostered shifts after they have been terminated.
- This error warns you that the employee you are trying to roster is terminated or already has a termination date in the payroll engine.
- In case the employee is not terminated you may need to contact your payroll manager.
- Deleting the termination date should correct the error.
Consecutive shifts
This alert is triggered if an employees shift exceeds the number of consecutive shifts an employee can take. You can set the limit to how many consecutive shift employees can take.
- In the sample above, the consecutive shift limit in a week is two shifts: John Smith has 3 shifts consecutively which violated the consecutive shift limit rule.
- To correct this, (Option 1) you may either adjust the limit to more than two or (Option 2) follow the set consecutive shifts limit whichever is applicable.
- Please do note that the rule will be applicable to all employees across the company so ensure that the requirement for the consecutive shift limit is correct and applicable to all before adding and saving this alert.
Days off
This alert is triggered when an employee's shift does not meet the rules this alert has been set up.
Rest Day: Set the day you wish your employees to have their day off
Previous number of days to check (inclusive): The range in days this alerts checks for days off
Minimum number of days off: The required number of days off.
- If this is set up, employees across the company should not have a shift on Sunday based on the rule above.
- The system should also check for the Range and Frequency.
- If there is a shift that violated the three rules, it will warn you about the Days Off rule that has been set up.
- The system should also check for the Range and Frequency.
- Please do note that the rule will be applicable to all employees across the company so ensure that the requirement for the Days Off rule is correct and applicable to all before adding and saving this alert.
