Mobile clocking is a feature released in Roubler version 6.10 and mobile app version 4.2.
This feature has been built with current COVID-19 hygiene concerns in mind, and provides employers with an optional setting that allows employees to clock in and out from their own personal mobile device instead of a communal on-site clocking device.
How do I enable mobile clocking?
If you have administrator level access or higher, go to Management > Settings > Mobile clocking.
By default, this feature will be inactive. To enable this feature, simply change the toggle to "Yes", then choose if you would like this feature enabled for all employee positions or only specific positions.
If you have chosen to enable this feature for all employee positions, they will appear in the display box.
If you would like to enable this feature only for specific employee positions, select the positions from the drop-down options that appear to type to search.
When you are ready to activate this feature for the intended employee positions, select "Save" to finalise this setting.
How do my employees access and use the mobile clocking feature?
Once the feature is enabled, your employees will need to download the latest version of the Roubler mobile app (version 4.2).
They can access mobile clocking from their mobile app home screen.
From here, they can see which location they are clocking into, when their next shift will be, and their shift activity options (clock in, clock out, start a break, or end a break).
If they are using this feature for the first time, they will be prompted with a pop up requesting access to the device location. If they choose not to provide location access, they will not be able to proceed with their clocking activity this time, and will be prompted again the next time they use this feature.
With each clocking activity, the employee will be asked to confirm the action. This helps to avoid any accidental clocking actions.
After an employee has completed a clocking action, they will see the time stamp display of that action. Select "Done" to close this display and return to the home screen.
How do I know who has clocked in via mobile and where they have clocked in from?
In the Timesheets section of your Roubler dashboard, you can see that employees who have used mobile clocking will have a location icon next to their name.
When you expand the entry, you will see each recorded clocking activity for that employee.,
If you click on any of the recorded clocking activities, you can view more details in the popup that appears.
If you click on "View on map", you will be able to see the location the clocking activity took place.
What is the difference between mobile clocking and the on-site location clock?
Employees who use the mobile clocking feature:
- will not need to know their Roubler pin
- will not need a photo verification
- can navigate between locations in the mobile app where relevant.
If the mobile clocking feature does not require photo verification, how do I know it's the correct employee clocking in or out?
While the location clocking feature uses a pin and photo to identify the relevant employee, the mobile clocking feature requires an employee to be logged into their user account in the app. The system captures their unique device ID and GPS coordinates to help validate it is truly them clocking in and out of shifts.
Is there any automated flagging if an employee has clocked in or out with a different device ID during a shift?
Not currently. This functionality is slated for a future version.
If an employee shows me they logged in at a different time on their phone to the clock in time in the timesheet. Which one is correct?
The mobile clocking time logs are based on the locale settings in your Roubler employer account. If an employee accidentally has their phone set to a different time, that will have no impact on their clocking time in the timesheet entry.
Can I individually opt an employee out of having access to mobile clocking?
Not currently. This functionality is slated for a future version.
If my employee cannot see the mobile clocking feature in their app, what is going on?
If you have mobile clocking enabled from your employer settings, and the employee meets the technical criteria to have this feature visible, then there could be some reasons as to why they can't see it in their app:
- They need to have the Roubler mobile app version 4.2 or later
- They need to have a device that supports the app (Roubler has been tested on Android and iOS versions 7 and later).
- It may be enabled, but may not be loaded correctly yet. They can try the 'pull to refresh' method from within the app, or close/open a new instance of the app and it should appear.
