Shift Bidding is now an available feature within the Roster space in Roubler. This will allow you to request availability for unassigned shifts in the roster which employees are able to register their interest as an acceptance or decline.
How does this Feature work?
- Navigate to Roster
- Either create an unassigned shift or select a pre-existing one in the Roster. Click Shift availability
- Select "Request Availability" which will send a request to all suitable staff which is determined by a number of factors;

- Employee has access to the shift location
- Employee has assigned position of the shift position (provided that the positions are locked in company settings)
- Employee meets correct employment type (provided the employment type is defined in the position settings)
- Sending the request would not trigger an active Shift Alert. For example*;
- Invalid Requirement - Employee does not have valid requirement on their profile to match the shift requirement
- Minimum Break - Employee does not minimum break requirements between shifts
- Out of Pattern - Employee has standard hours on their profile that are locked to the roster and assigning them this shift would push them outside their pattern
- Overlapping Leave - Employee has a leave or unavailability request for the shift times
- Overlapping Shift - Employee has a shift which would overlap with the new shift
- Over Max Hours - Employee has maximum hours on their employee profile and this shift would push them over that maximum hours for the week
- Terminated Employee - Employee has been terminated
- Consecutive Shifts - Employee has too many consecutive shifts
- Days Off - Employee would not meet minimum rest day

- Employees will receive Shift Bidding request
- Employees can register interest by Accepting or Declining
- Manager will then need to select the employee to assign to the shift - Please note that this is not an automated function to ensure that Manager's have the final choice as to who can receive the shift ensuring that any additional considerations are made.
- Shift can then be published as normal.
**Note - These alerts would depend on each Companies individual Alert settings
Scenarios
Please see some example scenarios of how the Shift Bidding logic will operate.
Scenario 1
Condition: Employee has access to the shift location but does not meet shift requirements
Outcome: Employee will not be sent shift for bidding
Scenario 2
Condition: Employee has access to the shift location, with Standard hours on their employee profile that are locked to the roster and the shift is outside the employees locked pattern.
Outcome: Employee will not be sent shift for bidding
Scenario 3
Condition: Employee has access to the shift location, with Standard hours on their employee profile that are not locked to the roster and the shift is outside the employees locked pattern.
Outcome: Employee will be sent shift for bidding
Scenario 4
Condition: Employee has access to the shift location, has the same position as the shift (and positions are locked in the Company Settings) and has same requirement in date on their employee profile as the shift.
Outcome: Employee will be sent shift for bidding
Scenario 5
Condition: Employee has access to the shift location, has the same position as the shift (and positions are locked in the Company Settings), has same requirement in date on their employee profile as the shift, does not have leave overlapping, does not have shift overlapping, but this shift would push the employee past the maximum weekly hours set on their profile.
Outcome: Employee will not be sent shift for bidding
Employee Shift Bidding Process

- Navigate to Employee profile
- Select Shift Requests
- Shift request will appear with the option to accept or decline.
