The new Demand Template offers greater flexibility by allowing a single template to be applied across multiple locations, unlike the previous version which was limited to one location. This enhanced template includes an additional field to specify the source of forecast figures at the shift level.
The system intuitively determines which forecast numbers to use based on the template's location level. It starts by checking the location for the sales forecast (current state, no change). If no template is found, it moves up to the company level, checking the parent location, and if necessary, down to the child and lower sub-locations.
How it works:
- The 'Use sales forecast from' field has been added in the shift template form.

Enhancement specifically around the shift allocation:
In the current system, we have the following scenarios:
- A roster is created using standard hours.
- Contracted employees are correctly added to the roster.
- Demand templates are executed, but they do not consider the existing allocated shifts.
The requested improvement is to include an option that takes existing allocated shifts into account when making use of demand templates.
To address this, we propose implementing an additional functionality that allows the demand templates to consider and incorporate the existing allocated shifts. By enabling this option, the system will intelligently analyze and adjust the demand calculations based on the already assigned shifts, ensuring a more accurate representation of staffing requirements. This enhancement will greatly enhance the efficiency and accuracy of our rostering process.
How it works?
As a rostering manager utilizing demand templates, given the following situations:
- I set a template with a 1:5 ratio, specifying a maximum of 10 shifts.
- I applied this template to a roster that already had 4 shifts assigned.
- I applied the demand template Not including existing shifts.
The system did not take into account the existing shifts, and as a result, it added an additional 10 shifts for allocation.
With the proposed improvement in place, the system will effectively handle this scenario, mitigating the risk of unnecessary overstaffing. By considering the existing shifts and adjusting the allocation process accordingly, the system will ensure a more optimized staffing level. This enhancement will result in improved resource utilization and cost efficiency, while maintaining the necessary coverage to meet operational demands.

If the "Include existing shifts" toggle is enabled, the system will analyze the current roster. It searches for shifts within the specified date range of the template and checks for matches based on location, position, and even slight time overlaps (even if the overlap is just 1 minute, it will still be considered a match). The system then deducts these matching shifts from the total number of shifts to be added based on the demand calculations.
To clarify, the "current roster" refers to the start date where the template is being applied, along with the total number of days specified by the template.
A "match" refers to a shift that shares the same location, position, and has overlapping shift times even for a minute.
By incorporating this functionality, the system ensures that existing shifts are taken into account
The toggle works not just for Ratio but also for Steps type.
Note: The number of shifts to be allocated depends on the number of steps indicated.
